Senior Business Officer / Executive Support
Role Purpose
The Senior Business Officer provides comprehensive administrative, organisational and executive support to senior leaders within the establishment. Acting as a central coordination point for executive activities, the post holder ensures effective communication, seamless operations and a high standard of professional support for internal and external stakeholders.
Key Responsibilities
Executive Coordination & Diary Management
- Manage and organise the diaries of senior leaders, including planning meetings, scheduling events and coordinating travel and accommodation.
- Prepare supporting materials such as briefings, background papers and agendas ahead of engagements.
- Collaborate with senior administrative colleagues to ensure consistent and reliable support across the executive team.
Written Communications & Enquiries Management
- Draft, proofread and prepare written materials including correspondence, reports, briefings and presentations for senior leaders.
- Handle incoming calls, messages and visitors, assessing urgency and determining the appropriate response or onward referral.
- Represent senior executives through professional and discreet communication.
- Assist in preparing and coordinating digital or social media responses when required.
Research, Analysis & Project Support
- Undertake research and short-term project work as directed by senior leaders or the Business Support Manager.
- Compile information from internal teams and external sources to produce evidence-based summaries, reports or recommendations.
Team Guidance & Oversight
- Provide daily support, oversight and guidance to business support staff, including apprentices.
- Contribute to staff development through coaching, mentoring and constructive performance feedback.
Meetings & Confidential Record Keeping
- Attend, support and minute senior-level meetings, ensuring accurate recording of decisions and actions.
- Manage sensitive information and documentation with absolute discretion and professionalism.
Administrative Systems & Information Management
- Maintain efficient filing systems, workflows and administrative processes to support executive operations.
- Ensure accurate management of confidential, personal and sensitive records in line with establishment standards.
Role Context
This position provides direct support to the establishment's senior executive leader, who collaborates with board-level colleagues, senior managers, key partners and external agencies.
The role requires ensuring the executive leader is fully prepared for both short-term commitments and long-term strategic objectives. Responsibilities include coordinating meetings, compiling briefing materials, gathering relevant information and maintaining communication with a wide range of stakeholders, including high-profile individuals, industry representatives and members of the public.
The post operates within an environment that may involve commercially sensitive discussions, reputational considerations and competing stakeholder interests. As such, the role demands strong awareness of the establishment's priorities, sound judgement and the ability to navigate complex and sensitive matters.
To be effective, the post holder must demonstrate excellent diplomacy, anticipate needs ahead of time, and understand the pressures and priorities faced by senior leadership. The role forms part of the Business & Executive Support function and reports to the Business Support Manager. Occasional evening or weekend work may be required to support key events or activities.
Work Environment
- Hybrid working model: typically three days onsite and two days remote per week (subject to change).
- Standard office environment with periodic attendance at events or meetings as needed.
